Commercial Client Service & Cleaning Policy
We value the trust of our commercial partners and strive to provide consistent, reliable, and professional service. The following policies help ensure a smooth working relationship and clear expectations for both parties.
Insurance, Safety & Conduct
Professionally Polished is fully insured and bonded, and all team members undergo background checks prior to employment. Our team maintains professional conduct at all times while on your property. If any area presents a safety hazard or restricted access, our cleaners may skip that area and notify management.
For safety and liability reasons:
- Our team will not handle valuables, sensitive documents, cash, or confidential materials.
- We ask that desks, countertops, and work areas be reasonably cleared prior to service so proper cleaning can be completed.
- Areas that are inaccessible or obstructed may not be cleaned during that visit.
Scope of Service
Commercial cleaning services are based on the agreed service scope and frequency outlined in your service agreement. Services not included unless previously arranged may include:
- Dishwashing
- Laundry services
- Heavy organization
- Biohazard or hazardous waste cleanup
Additional services may be requested and scheduled as add-on services.
Pricing Policy
Commercial cleaning services are billed at an agreed flat rate or contracted rate based on the size of the facility, scope of work, and cleaning frequency.
Rates may be reassessed if:
- The scope of service changes
- The size or layout of the facility changes
- Cleaning frequency changes
- Additional services are requested
- The cleaning time required consistently exceeds the agreed service estimate
Any adjustments will be communicated and approved prior to implementation.
Payment Policy
Invoices are issued according to the agreed billing schedule outlined in the service agreement. Payment terms may include:
- Weekly billing
- Bi-weekly billing
- Monthly billing
- Auto-pay via card on file
Invoices are due according to the payment terms stated in the service agreement. Late payments may result in temporary suspension of services until the account is brought current.
Access to Facility
Clients must ensure our team has safe and reliable access to the property during scheduled service times. This may include:
- Alarm codes
- Key cards or entry codes
- Lock box access
- Arranged after-hours entry
If our team arrives and cannot access the building, the visit will be considered a completed service and may be billed according to the agreement.
Cancellations & Rescheduling
- If you need to cancel or reschedule a scheduled commercial service, we request at least 24 hours notice whenever possible.
- Cancellation requests made within 24 hours of the scheduled service may be subject to a cancellation fee of up to $50.
- Cancellation requests made more than 24 hours in advance will not incur a fee.
- If our cleaning team arrives at the scheduled service time and is unable to access the facility for any reason outside of our control (including but not limited to locked doors, incorrect entry codes, alarm issues, or no access provided), a fee equal to 50% of the scheduled service total will be charged. This fee covers reserved time, team scheduling, travel, and lost appointment availability. It is the client’s responsibility to ensure access to the facility at the scheduled time.
Scheduling Changes
For regularly scheduled commercial services, reserved time is held specifically for your facility. If a service is skipped at the client’s request and not rescheduled within the same service cycle, a skipped service fee may apply depending on the agreement.
Supplies & Equipment
Professionally Polished provides the cleaning equipment and supplies required for service, unless otherwise specified in the service agreement. If a facility requires specific products, sanitizers, or equipment, the client must notify us in advance.
Damages or Concerns
If any damage or issue occurs during service, it must be reported within 24 hours so it can be addressed promptly. Professionally Polished will review and resolve concerns in a professional and timely manner.
Service Quality
Our goal is to maintain consistent quality and professionalism at every visit. If there are any concerns with service, we encourage clients to contact management so we can review and correct the issue promptly.
